Database Clean up and maintenance - Doublets, triplets, wrong links and moving contacts.

If you are tasked with the administrative work associated with the SuperOffice database, you may notice that some users are less disciplined than others: They tend to enter a company as new, even though it is already in the database, but with a somewhat different naming convention than what they think is right.

Also, you may be asked to import a list of companies that attended your company's booth on the last trade show, or the membership roster of a new organization your sales people have found ripe with opportunities. Add to that the eager new assistant that where told to 'Enter this stuff', not knowing that a lot of that 'stuff' already existed.

Over time, your database may be in dire need of some clean-up. This is sometimes done by the people in marketing and sales on a case-by-case basis. At other times, you are asked to 'take care of this mess'. Granted, part of this job can ONLY be done by people that knows the prospects and customers fairly well, but there are tools available that can greatly assist in these kinds of clean up projects.

Through an advanced duplicate analysis of your SuperOffice database, it identifies potential company and person duplicate candidates and present them in a user-friendly user interface. From here you can remove duplicates one by one, or you can merge high score duplicates in an automatic process.

Automatic versus Manual Merging
Duplicate Analyzer gives a score for each duplicate it finds. You can run a bulk merge on those duplicates with a high score – quick and efficiently. Those Duplicates with a low score will usually require a manual review. Duplicate Analyzer present the duplicates in an easy to overview screen, allowing you to quickly review and merge duplicates, or to mark them as not being duplicates. The overview include statistics and user defined fields.
